As the Administrative Assistant to the Vice President of Mission Integration (MI) in Strategy & Business Development (S&BD) for the Space business area (BA) of Lockheed Martin (LM), you will be part of a new team charged with the planning and execution of Space efforts to develop and assess mission solutions which integrate capabilities and systems-of-systems from across Space and Lockheed Martin to enable 21st Century Security™.

You will assist the MI VP and directors as they support Space S&BD, lines of business (LoBs), Ignite, and Product Centers of Space, as well as the other LM BAs and corporate. In this capacity you will represent the MI organization, the VP, and directors to a wide range of individuals including technologists, engineers, strategists, managers, and senior executives/flag officers from across LM, government, and industry. This requires quickly establishing and maintaining excellent rapport and working relationships with these individuals and their support staff. It requires the exercise of exceptional tact in engaging with others, and, in the handling of potentially sensitive information. It also requires knowledge of a broad range of organizational, policy, protocol, security, facility, and logistics information and tools associated with this range of individuals and their organizations. It involves working in a fast-paced, collaborative team environment, and quickly adjusting to changing demands of the organization, VP, and team.

Summary of key duties:

• Perform administrative duties for the VP, MI Directors, and key leaders of the team to include maintaining calendars, arranging and hosting meetings (classified and unclassified), making travel arrangements (domestic and international), and completing travel claims

• Prepare, maintain, and coordinate documents to include meeting minutes, organization charts, delegation of authority letters, organization announcements, action item trackers, upcoming events lists, and internal memos

• Manage complex calendar scheduling to ensure optimal use of VP and staff time, in particular, de-conflicting schedules and helping to prioritize meetings based on mission and business needs

• Prepare the VP for daily and weekly agendas by preparing meeting materials in collaboration with the staff

• Coordinate logistics, agenda, invitations, participation, etc. for meetings, activities, off-sites, etc.

• Serve as a pro-active member of the S&BD and Space executive administrator team

• Interface and coordinate with LoB and MFO executives and their support staff; senior executives of LM Corporate, Government Affairs (LMGA), and other LM business areas; and senior executives of customers and industry partners.

• Multi-task effectively in a fast-paced, ever-changing work environment

• Demonstrate initiative, discretion, and tact in managing email, phone calls, etc

• Ensure correspondence is accurate, complete, and properly handled

• Employ software applications, websites, and shared data repositories to access LM systems, compose correspondence, and create spreadsheets and presentation charts

• Update delegated tasks to ensure progress to deadlines.

• Pursue opportunities to change or lean out processes or approaches

• Prioritize non-routine situations

• Manage credit card and place orders for small purchases, training, and conference support

• Handle work issues outside of normal work hours

Basic Qualifications:
• Prior experience as an Administrative Assistant at the director level (or equivalent) or above

• Experience proactively collaborating with and coordinating administrative support for senior level executives from LM, government, and industry partners

• Experience using administrative applications (in particular Microsoft Outlook, Word, Excel, PowerPoint, and Teams as well as Zoom)

• Experience composing reports, correspondence, and memorandums, and reviewing drafts and finished documents for appropriate content, grammar, and distribution

• Experience preparing and maintaining administrative lists, charts, and trackers and proactively coordinating appropriate inputs and updates from others

• Experience making complex travel arrangements, order supplies and catering, and reconcile expense reports

• Competency in the use of the internet to perform research

• Must be a United States citizen and be able to obtain a Top Secret/SCI security clearance
Desired Skills:
• Active TS/SCI clearance

• 5+ years of experience as an Administrative Assistant at the director level (or equivalent) or above

• Prior experience as an Administrative Assistant for a Vice President or above

• Basic understanding of business and financial concepts

• Project management skills

• Advanced analytical and statistical analysis skills

• Demonstrated knowledge of security classification levels, policy, and associated resources, in particular for DoD Collateral, Sensitive Compartmented Information (SCI), and Special Access Program (SAP) activities

• Experience using LM tools and websites (e.g. classified and unclassified VTC, Concur, Command Media, LMBuildings, SharePoint, Box, etc.).

• Capacity to quickly learn, or demonstrated knowledge of, LM policies and business operations including for travel (arrangements, expense reporting, etc.), procurement (supplies, catering, etc.), memoranda (e.g. delegations of authority, organization announcements, etc.), events (e.g. offsites, all-hands, customer visits, etc.), and operations (e.g. organization structure, positions/titles, business rhythms, etc.)

• Excellent interpersonal skills, both oral and written, and the ability to work well with all levels of internal management and staff, as well as outside executives and customers

• Ability to handle confidential and sensitive information with the utmost discretion

• Demonstrated desire and ability to take initiative

• Ability to work independently with minimal supervision

• Capacity to multi-task and complete assignments accurately and on time

Ability to Work Remotely: Part-time Remote Telework: The employee selected for this position will work part of their work schedule remotely and part of their work schedule at a designated Lockheed Martin facility. The specific weekly schedule will be discussed during the hiring process.
Work Schedules: Lockheed Martin supports a variety of alternate work schedules that provide additional flexibility to our employees. Schedules range from standard 40 hours over a five day work week while others may be condensed. These condensed schedules provide employees with additional time away from the office and are in addition to our Paid Time off benefits.
Schedule for this Position: 9x80 every other Friday off
